1. PROJECT BACKGROUND/CURRENT ENVIRONMENT
“Going Green” is a project that is intended for Heriot Watt University Dubai to make the entire organization more environmentally conscious and sustainable. Going Green would help Heriot Watt to achieve its vision of being a green campus through implementation of greener alternatives, recycling and awareness. This would in turn help Heriot Watt to align itself to UAE’s Green Growth Strategy 2021 which states that, the nation wants to be a leader in Green Industries by the 50th Anniversary of its formation.
As a research oriented university Heriot Watt itself has supported various researches and projects developed by students and faculty from its campuses all over the world. The most recent green researches include partnering with EPIC green solutions to explore sustainable solutions on water conversation in the UAE and, various projects like the purpose built green campus in Malaysia.
Many universities all over Europe, USA and Canada have implemented various green programs in a bid to conserve the environment like the University of Sussex in UK has its own free cycling shop where students can hand in unwanted items and these are recycled into items that other students may need like clothes, books and cooking equipment.
The Green Project will help to channel the universities strategy of developing into a green campus by providing it with ecofriendly alternatives at 4 levels:
- Internal structure
- Marketing
- Efficient operations
- Green Campaigns
Thus, involving the entire Heriot Watt community at all levels and developing agents of change with this project amongst the students and faculty. Also, this will in turn improve the quality of life and work environment.
Our project will be a Whole Project Life Cycle, one which will continually monitor the operations of the university after the project is launched to gather feedback, evaluate the same and develop a correction plan in case of any deviations from the set objectives of the project. As, a consulting company we will also provide our client, Heriot Watt with better suppliers, quality products and analyze and interpret the success factors or failures of the project on an ongoing basis through the set green committee.
Describe the current environment by using the following:
As, a service based company Going Green Consultants have to have access to various confidential information of our client, Heriot Watt this includes database of students and staff, financial statements, access to reports, supplier information etc. Therefore, Heriot Watt will have to provide us with access to information technology resources by attaining the approval from the main campus in Edinburgh.
The current IT facilities at Heriot Watt are managed and operated by the university in Edinburgh. They are quite efficient and follow proper channels to address any problems faced by the end users. They also determine the extent of access every individual working with Heriot Watt (full or part time) depending on their position, responsibilities, tasks, etc. As consultants to Heriot Watt we will sign an Oath of Confidentiality with the university to safe guard information that is sensitive to the organization as well as its staff and students.

3. PROJECT SCOPE
3.1 Context Analysis
- Initiating: This is the start point of the project where we focus and collect details about different parts of Heriot Watt University (both internal and external). Project feasibility analysis is conducted which comprises of information related to the economical, technical and financial aspects, which determines if the University will provide all the technological expertise we will be requiring for the project. Economic feasibility comprises of cost benefits ratios and the expected life span of this project, and the financial feasibility manages all the potential costs associated with our project. Our project manager is appointed in this stage to decide about the planning, execution and controlling of the project.
- Planning: We decide the budget and resources needed to carry out the plan which includes:
- The number of LED lights needed for the entire university including their cost.
- The cost for marketing and promoting (posters, broachers etc.)
- The amount of cash required to conduct the “Green Campaign” in the University which will be conducted every semester for an entire week to let the students and staffs know more about our project.
- The cost required for installing the power saving computer software’s.
- Executing: A committee will be formed within Heriot Watt University consisting of 4 to 6 members wherein they will be responsible for all areas stated in the scope of the project and will report to the Project Manager. It is a must for us to track the effort and costs associated in order to determine whether our project is heading in the right path or not.
- Controlling: The project progress and status is compared with the actual plan. By the reports provided by the committee formed, for instance comparison will be made on the electricity bills of the previous months with the present electricity bills. These reports will indicate the efficiency of the new system set in place i.e. the LED lights.
3.2 Included in the Project
Business Functions:
- Appointing a committee –
- We will appoint a committee who will be in charge of bringing forward concerns or requests to the consultants.
- Identifying the problem –
- The consultants and committee will then meet, discuss and identify areas on campus that can be more ecofriendly. For e.g. replacing the usage of tube lights that uses a lot of electricity to LED lights. Another example could be, the lack of awareness among the students related to the importance of using the recyclable products such as, recycled paper which can be addressed by gathering ideas from the committee and management to conduct effective campaigns.
- Identifying the right suppliers for various ecofriendly alternatives
We will have a database of suppliers from which we will select potential suppliers based on the budget set for this project for Heriot Watt University.
- Provide Herriot watt with the quotation
Since we will already have a set of suppliers on our list, Heriot Watt will receive a good deal for the products that they will order for the project to initiate.
