Knowing Your Audience Paper and Communication Release
To: The families of the Trapped Chilean Miners,
We are sending deepest regret and sorrow to announce to you today, August 5, 2010 the collapsing of the copper mine and the 33 miners trapped below the surface. We are not aware of their location and the injuries of the miners. We are making every effort to rescue loved ones and bring them to safety. Our rescue workers are trying as quickly as possible to determine how many is critically hurt. We are drilling five inches below the surface to find the location of the family members so we can attempt to give them food, water, and medical supplies they may need until we can get them to safety. I have arranged professional counselors to be on stand by and provide comfort for our 33 miners and to ensure them of their safety. We ask that everyone please remain calm for your loved ones and trust that we can rescue your brave family members. We will provide current updates as thing progress {face to face} discussion and concerns we have with the manager, public officials, and rescue worker, involved with this horrific accident, and the members putting them in danger to rescue your loved ones. Please believe the safety of my employees is my main concern. I will give every effort and resources to bring back the safety of our employees and loved ones.
Communication with the Company Meeting
We have just been notified of Northern Chile copper mine trapping 33 miners. We have rescuers drilling holes and trying to locate the works. There has been no information given that the rescuers could reach any of the miners at this time. They are approximately 300 feet down and no food, water, or oxygen. Rescuers are working around the clock to try to reach the miners to see the damage to them and see what they need to rescue the miners. We ask that you do not share any information with anyone outside the company, especially the media. It is very important that we gather the facts about the information before we release any information to the family members. We will send e-mails out once we have gotten the facts and the new information as it is receive.
Knowing the audience is a critical part of communication. The people that are receiving the message second the importance. A poor delivery of the message could make the audience not understand the message the way it was delivered. The importance of the message needs to be understood. There are many things to take into consideration when explaining the information to the public. There are actions that must come after the fact to ensure that the message was given correctly. From the very start of the event the most important thing that the company must do is to safeguard the details of the situation to ensure that the information is given to each of the audiences in an appropriate fashion. Although the company is developing the best strategy of delivery, time is the most pressing concern. Every second spent on the strategy is a second that the information can be given to the audience in its raw form. A leak would be detrimental and disrespectful to the audience. No one would want to hear through the grapevine that his or her loved one or co- worker was involved in a tragic event as the Chilean Copper Mine event. It is important to remember that timeliness is very important when dealing with situations of this magnitude. When taking the families into consideration, the company must deliver the information about the mine collapse with an extreme level of tack, clarity, and reassurance. It is inevitable that the family be inform about their loved ones. When speaking to the audience the perspective of announcing the incident, must receive the message differently the precautions taken before to ensure the message delivers correctly.
