Database Design Paper
A database is a collection of data for multiple uses in a digital format. A database system is a construction of data archetypal, database, and management structure There are many types of databases in different companies that are utilized according to what satisfies them. This paper will discuss the databases and associated applications used at Central Pacific Bank Information Security department and associated sections.
Database Used At Work
Central Pacific Bank Information Security department's primary database is Microsoft Access. The program is used to locate and display findings. The section uses the database to monitor user accesses, productivity, and pay figures for employees. In addition, Microsoft Access can organize and transport data to miscellaneous database. Because of our ties with our Human Resource department, our additional duties lie with monitoring the many data going into peoplesoft.
Human Resources use this tool for its many capabilities, more importantly they utilize the program to recruit employees, increasing their skill levels, giving them a reward for their accomplishments, and increasing productivity within the organization. This is important to ensure our department has the upper hand in controlling new employee's accesses and to prep ourselves for audit.
Another application that we use to communicate to other people via e-mail in our company as a whole is Lotus Notes. This is our primary method of communication to all other branches within our department and other branches in the island. Due to our over population on our distribution list, Lotus Notes depends on Microsoft Access to generate our list and is inputted manually. Once the list is generated by Access, we enter our email system to swap and update all electronic mailing lists. In addition, our email system has a max capacity for data being stored; we have been advised to generate various files in the same area formulating a structured breach to segregate the files. This process proves very helpful but requires a lot of attention to detail. Although these programs seem good to be true, I personally think that there could be changes or improvement made in our process.
Although we have provided evidence of a resourceful database and associated applications, improvements can be made specifically to Lotus Notes. The manual input of the distribution list is something that makes the accuracy of our data management vulnerable to error. If we missed updating our distribution list even for a day, we fall victim to inaccuracy. I would improve this process by generating a way to automatically populate our distribution list from Microsoft Access to Lotus Notes. This way when ever the list in Access is updated, so will the list in Lotus Notes minimizing inaccuracy. This fix will also help in preparing for an audit, decrease work flow stoppage,
