This is to assess the unnecessary travel costs of Mr. Morgan who works for Castle's Family Restaurants which consist of eight northern California locations with approximately 300 to 340 employees and suggest a HRIS solution. The employees are made up of about 40% full-time and 60% part-time. As operations manager and human resource manager, Jay Morgan finds that he has a hard time maintaining all of the responsibilities that are required of him. He travels to each of the eight locations every week to take care of scheduling, recruiting, hiring and answering questions for the employees as needed along with the everyday operations of each restaurant. In addition, Mr. Morgan is responsible for payroll and is currently using an Excel spreadsheet and a computer application to print the payroll checks. Mr. Morgan is looking to reduce his travel time and expenses, complete his HR and payroll tasks more efficiently and allow him more time as operations manager.
IDENTIFIED PROBLEMS
I have identified several problem areas that a new HRIS could possibly benefit. Our goal is to eliminate the use of paper employee manuals, maintain potential, former and current employee records, manage schedules, recruiting, hiring, payroll and streamline product ordering and stock inventory records. I believe that the first need is to get a program set up that will manage the human resource and payroll processes. I will provide a comprehensive range of tools to help with HR and payroll and reduce duplication and minimizing the time spent on day-to-day administration. Inquiry, reporting and analysis tools will help Mr. Morgan to gain a clearer insight into the organization's resources. This will allow Mr. Morgan to remain at his main office and not have to travel as often.
HRIS NEEDS ASSESSMENT
An automation system such as a HR Data Manager System and a payroll system would create a more efficient process for the Human Resource functions and it will lessen all of the unnecessary traveling that Mr. Morgan currently performs by giving him quick access to information, easy reporting, improved efficiency and more. Mr. Morgan would be able to easily manage applicant tracking, employee tracking, training management, benefits, employee evaluations, job data, payroll and much more. Risk Management becomes a breeze with data at your fingertips to help keep you compliant with regulations. My ultimate goal is to combine a full-featured Human Resources Management system and Payroll services into an integrated, robust solution that complies with the applicable government regulations, reducing travel costs and adding employee satisfaction. Mr. Morgan will be able to complete all his tasks starting from the recruiting stage all the way to the retirement stage using this system, all from the convenience of his office.
