Mr. John Smith

Construction Manager

Greenfield Community College

210 College Drive

Chicago, IL 60651

Dear Mr. Smith

In your recent request to change the location of a venting apparatus to accommodate the change in the campus' overall design plan, has been thoroughly examined. As you know these systems are custom-designed and involves a variety of sub-contractors. No changes can be made to these designs after the specified date in the contract. Because you are a valued customer I talked to the engineer to see if your request could be accommodated and his response was not what I expected.

Apparently there is a zoning restriction on this kind of venting apparatus that has been in effect since May 1, 2012. EBG has a policy against violating any zoning restrictions. So I consulted our legal department to get their input on this situation to see if there was any other way we could accommodate these request and they informed me, that there is nothing else I could do. Therefore, we could the change the deadline. I would like to make an alternative suggestion, however.

Because you would be required at some point to use these venting apparatus', even if you move them to another school, I recommend you install them in another location were the measurements are closely matched. I will have our engineers come out and check the measurements for you at any location you desire, and we will work out a fair price to install them. Please let me know if you would like to consider this plan.

We have enjoyed a positive and understandable working relationship with your company for the past two years and we are looking forward to serving you in the upcoming years. You are one of our most valued customers.

Thanks again for your continuing business. I look forward to serving you in the future

All the best,

Sally Knox
